Voting Glossary

Plain-language definitions of the terms you will see while setting up, managing, and participating in voting events on Pepvote.

A

Alias: A custom label for a Pepvote term. For example, an organizer can call a Position an Office, a Candidate a Nominee, or a Voter ID a Student ID.
Anonymous voting: A voting setup that protects how an individual voted while preserving accurate, auditable result totals.

Ballot: The set of positions or options a voter reviews and submits during a voting event. A ballot can contain one or several positions.

Candidate: A person contesting for a position. Depending on the event, a candidate may also be called an aspirant, contestant, or nominee.
Cast votes: To select choices on a ballot and submit them for counting. Pepvote records the submission once the ballot is successfully completed.
Confirmation code: A unique code issued after a voter submits a ballot. It can be used to confirm the voting event, selections, submission time, and confirmed vote count.

Draft: A voting event status that means voting has not opened yet. Organizers can continue preparing the ballot, participants, and settings.

Election: A voting event for a known or approved set of voters. Election voters typically use a voter key, and may also be asked for a Voter ID, before they can access the ballot.
Ended: A voting event status that means its voting period has closed. Voters can no longer cast votes, while authorized team members can complete result and audit workflows.

Group: A way to organize positions, candidates, or voters. A group can represent a faculty, department, party, category, team, ward, or another structure used by an organization.
Group Mode: An optional voting event setting that enables groups and allows positions, candidates, and voters to be assigned to them.

Live Result: A setting that makes results available to candidates and voters while a voting event is ongoing.

Maximum selections: The largest number of candidates or options a voter may select for one position. A maximum of one uses a single-choice ballot.
Minimum selections: The fewest number of candidates or options a voter must select for one position. Set it to zero to make that position optional.

Observer: A read-only voting event role for monitoring progress and results. Observers cannot edit the ballot or other voting event setup.
Ongoing: A voting event status that means voting has started and has not yet ended. Eligible voters can cast votes during this period.
Owner: The account that created a voting event or has been invited with the owner role. Owners have full management access, including the ability to delete the voting event.

Poll: A voting event designed for a public or broad audience. Poll voters can normally access the ballot from a public link without being uploaded before voting begins.
Polling Officer: An operational team role that helps manage positions, groups, candidates, sponsors, and voters. Polling Officers cannot manage team invite permissions.
Position: The office, seat, award, or category that candidates compete for. Each position appears as a distinct part of the ballot and results.
Publish Result: A setting that keeps results available after a voting event has ended, subject to the relevant role and visibility rules.

Results: The position-by-position outcome of a voting event, including candidate totals, percentages, turnout, and participation metrics where available.

Sponsor: A supporting brand, partner, or organization displayed around a public poll or award voting experience.

Upcoming: A voting event status that means a start time has been scheduled in the future. Voting has not opened yet, but organizers can continue setup.

Vote: A recorded choice for a candidate or option under a position. One submitted ballot can contain votes for several positions.
Voter: A participant who is eligible to make choices on a ballot. A voter may be called a student, member, employee, staff member, or another custom alias.
Voter ID: A unique identifier used to recognize a voter before registration or ballot access. It can be customized to match an existing ID, such as a matric number, membership number, or employee ID.
Voter Key: A secure code sent to an approved election voter, usually by email, to verify access before they cast votes.
Voting Event: A Pepvote workspace for running an election or poll. It contains the ballot, participants, settings, activity, and results for one voting process.
Voting Event Code: The short code that identifies a voting event. It is used in Pepvote links and can be entered by voters to find the correct event.
Voting Event Manager: A trusted operations role that can manage voting event setup, invites, results, and vote-related views, but cannot delete the event unless they are also an owner.

Weighted Voting: A voting setup where specified voters have different vote values based on rules such as share ownership, membership tier, delegate count, or stakeholder class.
