Invites and email reminders

How user invites, role invites, and election reminder emails work.

Invitation types in PepVote

Manual team invites

You can invite these roles manually from Invite Users:

  • Election Manager
  • Polling Officer
  • Observer

Automatic participant invites

Candidate and voter invites are created automatically when:

  • A candidate with email is added/imported
  • A voter with email is added/imported

Invite status meanings

  • Pending: invite created, user not yet linked.
  • Accepted: user account is linked and invite is active.
  • Revoked: access removed.

You can revoke or delete invites from the invites table.

Invite limits to know

PepVote currently caps combined invites for Election Manager, Polling Officer, and Observer roles at 1 per election in Free Plan. See Pricing Page for election user invite limits in each plan.

Election started email reminders

When an election start time is reached, PepVote sends "Voting has started" emails to approved voters with emails.

Reminder behavior:

  • Sent only to approved voters with valid email.
  • Duplicates are avoided for repeated email addresses.
  • If a test email target is set for TESTING, Then emails are sent to the provided testing email.

Other election emails

PepVote can send:

  • Election invite emails
  • Voter key emails
  • Votes submitted emails (with confirmation code)
